Privacy Policy
Effective date: 12 October 2026
This Privacy Policy explains how Aimatee (“Aimatee”, “we”, “us”) collects, uses and shares information when you use the Aimatee mobile app and related services (the “Service”). Aimatee is for people aged 18 or over. By using the Service you agree to this policy.
The Service is provided by AIMATEE LLC, a New Mexico limited liability company, which decides how and why your personal information is processed (the “controller”). Contact: [email protected].
Website analytics. The marketing website aimatee.com uses Ahrefs Web Analytics, a privacy-focused service that measures aggregate visits (pages viewed, referrer, country, device type). It is separate from the app and from the optional in-app analytics described below.
Information we collect
- Account information. You can sign in with Google, in which case we receive your email address, your name and your Google account ID; or with a one-time sign-in link that we email to you (the link is sent through our email provider, Resend). If no name is available we derive a display name from your email address.
- Profile and goals. What you tell us during onboarding and in Settings: your role, English level, native language, learning goal, what you find hard, free-text company context, and your time-zone offset.
- Conversations. Messages you send to AI coworkers, and transcripts of voice calls and meetings. We also store the corrections and mistakes found in your English, pronunciation scores, and your practice and shadowing progress.
- Voice recordings. When you use voice features your speech is sent to speech providers to be transcribed and, for pronunciation practice, scored. We store some recordings: voice messages you send in chats, and recordings from shadowing and practice exercises. They are kept in our cloud storage (Cloudflare R2) until you delete your account, and are deleted immediately when you do. Audio of live voice calls and meetings is streamed for transcription and scoring and is not kept by us as audio; we keep the transcript. Call recordings you choose to save stay on your own device.
- Memory. So your AI crew can remember you between sessions we store short summaries (“memories”) derived from your conversations and profile. You can review, export and delete them in the app under What Aimatee remembers.
- Purchases. If you subscribe or buy a top-up we receive from Google Play a purchase token, order ID, product and plan, status, dates, price, currency and country. We never receive your payment-card details.
- Feedback and reports. Text, ratings and app/device information you send through Send feedback, and any AI message you report.
- Device and technical data. A push-notification token if you enable notifications; your IP address, used briefly for rate-limiting and abuse prevention.
- Emails. We send you the sign-in link and service emails, and may send welcome, reminder and weekly-summary emails. Each such email has an unsubscribe link.
Product analytics (optional, off by default). Analytics is OFF unless you turn on Settings → Privacy and memory → Share usage analytics. Until then no analytics SDK is started and nothing is sent to our analytics provider. If you turn it on, we use PostHog to collect usage events (such as screens opened and features used), crash and error reports, and session replays, linked to your account ID together with your role, English level and native language. Replays mask all text, text inputs and images. The setting applies to the device you set it on. Turning it off stops collection, resets the analytics identity on that device and stops our server from sending analytics events for you.
How we use your information
- To provide, personalise and maintain the Service, including remembering context across sessions.
- To generate AI coworker replies, English corrections and pronunciation feedback.
- To process purchases, unlock your plan and prevent fraud.
- To send notifications and emails you have not turned off.
- To monitor quality, reliability and cost of our AI features, to debug problems, and to prevent abuse.
- If you opted in, to understand how the app is used and to fix errors.
AI coworkers are generated by AI models and can make mistakes. You can report an AI message in the app. We do not sell your personal information, and we do not show ads or use your data for advertising.
Who processes your data
We use the following service providers, each only to run the Service on our behalf and for the purpose shown:
- Cloudflare — hosting, our database and file storage (D1, R2), AI request gateway, and a fallback speech-to-text model.
- Google — Google Sign-In; Gemini language models and Gemini Live for chat and voice calls, and text-to-speech; Google Play (subscriptions and purchase verification); Firebase Cloud Messaging (push notifications).
- OpenAI — language model used as a fallback for chat, for meeting scene planning, and to extract and index your memories.
- Soniox — speech-to-text and speech synthesis for meetings and voice messages.
- Microsoft Azure Speech — pronunciation assessment and word audio.
- mem0 — the memory store, which we host ourselves on our own server.
- Langfuse (Langfuse Cloud, US region) — monitoring of AI requests for quality, cost and debugging. These traces can include the text of your conversations and your account ID.
- Resend — sending our emails (your email address, name and message content).
- PostHog (US cloud) — product analytics, error reports and session replay, only if you opted in.
Your data is processed on servers in the United States and other countries where these providers operate, which may have different data-protection laws from yours.
Data retention and deletion
We keep your information while your account is active. You can delete your account in the app at any time, or ask us to do it by email if you no longer have the app — see how to delete your account. In short: access ends, your voice recordings and AI memories are deleted immediately, and the rest of your account data is permanently deleted after a 7-day period. You can also delete individual memories at any time.
Limited records survive deletion: purchase and top-up records are kept in a form no longer linked to you (no name or email) for tax, accounting and fraud-prevention purposes; and copies held by PostHog, Langfuse and infrastructure logs follow those providers’ retention settings — email us and we will ask for them to be deleted. Sign-in links expire after 15 minutes. IP addresses used for rate limiting are kept only briefly.
Your choices
- Turn analytics on or off in Settings → Privacy and memory → Share usage analytics (off by default).
- Turn notifications off in your phone settings or the app, and unsubscribe from emails using the link in any email.
- Allow or deny microphone access in your phone settings; the app can be used by text without it.
- Export or delete what Aimatee remembers about you in the app.
- Delete your account in the app or by email. To exercise other privacy rights (access, correction, objection), email us.
Payments
Subscriptions and top-ups are bought and managed through Google Play. We do not collect or store your payment-card details. Deleting your Aimatee account does not cancel a Google Play subscription — cancel it in Google Play.
Security
Data is encrypted in transit (HTTPS/TLS), and we rely on our infrastructure providers’ protections for stored data and limit who can access it. No method of transmission or storage is completely secure.
Age requirement
Aimatee is only for people who are 18 or older and is not directed to children. If you are under 18, do not use the Service. If we learn that we hold data of a person under 18 we will delete it.
Changes to this policy
We may update this policy. If we make material changes we will update the effective date above and, where appropriate, notify you in the app.
